Role Overview & Responsibilities
Main accountabilities:
Engineering Support
- Manage CTRs and eCTRs.
- Interface with VDT for (e)CTR that are being managed/co-ordinated by them.
- Creation, management and closure of projects within ERP system for all streams.
- Creating new Engineering Support projects in GEOS to allow for time writing.
- Monthly cost reporting and review.
- Ensure timecards have been submitted against the correct projects/tasks.
- Administration of ICPOs and invoices.
- Resolve and Inter-Company queries/disputes.
- Creation of new project folders/registers for document control purposes.
- Quarterly forecasting.
- Maintain associated files and registers, i.e. archiving completed projects.
All Streams/Department
- Support the engineers in raising of PO requisitions - helping to update the RP&IT purchasing process.
- Management of the PO process ensuring any queries from procurement dept. are dealt with
- Manage any invoice disputer/queries.
- Ensure that others within the Administration Team are able to undertake main responsibilities of role, ahead of any absence period.
- Managing the Subsea CoE SharePoint site and its upgrades. Supporting the Administrators in the management and issuing of the documentation. Managing the contract and JIP registers.
- When required, provide support to the OneRigid organisation.
- Covering requests during team absences.
- Supporting the Administration Lead in updating the department processes and procedures
- RP&IT intranet site – Support the maintenance of the existing site.
- Any other tasks requested by the department.
Qualifications (professional, technical, academic):
Essential:
- Previous experience in a similar role.
Typical background and experience required:
Essential:
- Competent in the use of Office 365 (Outlook, Word, PowerPoint, OneDrive), Adobe Acrobat and Lotus Notes.
- Proficient in the use of Excel - formulas etc
- SharePoint experience
- Good oral and written communication skills with respect for confidentiality.
- Proactive and flexible team player.
- High attention to detail and accuracy.
- Ability to use initiative and work with minimum supervision.
- Ability to prioritise workload and work well in stressful situations.
